Popular Flying Association – International Air Rally 08–11 July 2004

Herts & Bucks Wing are inviting nominations from squadrons for cadets and staff to attend the PFA’s International Air Rally to be held at Kemble Airfield, Gloucestershire from Thursday 08 July 2004 – Sunday 11 July 2004.

Squadrons are to indicate their attendance with nominated staff and cadet details by completing Annexes A and B and returning them to Herts & Bucks Wing, along with the correct fee, no later than Monday 28 June 2004.  There will be no extension to this deadline, as it is essential for planning and catering purposes.  A nil return will be assumed if a response is not received by this date.  Any personnel not included on this form should not attempt to attend, as there will be no provision for accommodation or catering.

Some of the staff taskings and personnel appointments have been agreed, but further volunteers are now required.

Cadets must be enrolled at the time of the event and hold a properly completed F3822.

Accommodation and Messing.

Accommodation will be tented for all those attending with messing provided from Friday morning to Sunday evening.  Squadrons are requested to provide tents for their own personnel where possible and are to indicate on Annex A the number of tents and size (no of persons) they could provide.  Personnel should bring their own packed meal for Thursday evening as no catering will be available.  There will be a small tuck shop available for cadets over the weekend, at their own expense.  All personnel must bring a water bottle and/or hydration system for their personal use.

Dress and Kit.

CS95 uniform with black boots and beret for the entire weekend for cadets and uniformed staff: equivalent for civilian staff.  Uniformed personnel should travel in civilian clothes.  If choosing not to, the usual security procedures are to be observed, ie no uniform nor service items to be visible, civilian topcoats to be worn over uniform and uniform headdress to be removed.  For a full kit list, refer to Annex D.

Documentation.

Cadets must carry their F3822s at all times.  Uniformed staff must have F1250s and civilian staff must have suitable identity documents.  All staff and cadets are to arrive with fully completed ACF13s and asthmatics questionnaire where appropriate.  Consent Forms and the appropriate asthmatics questionnaire are attached at Annex F.  Squadrons are requested to copy the appropriate number for forms for those attending.  Squadron Commanders are to ensure that all necessary medication required for cadets and staff is brought.

Transport.

Squadrons are to indicate on Annex B if they wish their cadets and staff to travel on one of the two coaches being arranged for the Wing or whether they will be bringing Squadron or Private vehicles.  Cadets who are unable to travel on the Thursday evening will be expected to make their own travel arrangements to arrive at Kemble Airfield on the Friday, but cadets should not be used as vehicle drivers or bring their own vehicles.
